How to Move from Excel to Distribution Software
A realistic migration checklist for Pakistani wholesalers leaving spreadsheets for sales, stock, and receivables software.
Excel works until it does not: two people edit different copies, stock does not match the shelf, and customer balances depend on who last updated the sheet. Moving to distribution management software is less about “going digital” and more about picking a cutover you can survive.
Migration checklist
Step 1
Freeze a clean master list
Export or tidy products (with SKUs), customers, and suppliers. Fix duplicate names before import — software will not heal messy masters by itself.
Step 2
Decide opening balances
Agree stock quantities and customer/supplier opening balances on a cutover date. If balances are wrong on day one, trust collapses immediately.
Step 3
Pilot with one workflow first
Usually: create a sale, record a purchase, check stock, record a customer payment. Do not migrate every historical invoice from 2018 unless you truly need it.
Step 4
Run parallel briefly
Keep Excel as a read-only reference for a short period while new transactions go into the system. Avoid double-entry forever — pick a stop date.
Step 5
Train the people who type invoices
Owners approving demos is not enough. The person at the counter needs to complete a credit sale and a partial payment without calling IT.
Step 6
Review after two weeks
Check receivables totals, a few product stocks, and supplier dues against reality. Fix process gaps early.
